Duplicate Invoice Fraud Prevention: Stopping Overpayments Before They Leave Your Account

Duplicate invoice fraud sounds simple because it is: the same invoice gets paid twice. But in practice, duplicate fraud ranges from honest AP errors to deliberate schemes that can drain AP accounts systematically — and the line between accidental and intentional duplication is often only visible in retrospect, after the money is gone.

Understanding the different forms of duplicate invoice fraud and where standard AP controls fail to catch them is the foundation of effective prevention.

Types of Duplicate Invoice Fraud

Accidental duplicate payment. The same invoice is entered twice — by different AP team members, through different channels, or after a resubmission following a payment delay. The resulting overpayment is an error, not fraud, but the financial impact is the same. In high-volume AP environments, accidental duplicates account for 1–2% of invoices — and recovery from vendors is time-consuming and often partial.

Deliberate re-submission with modified identifiers. A vendor — or someone impersonating a vendor — resubmits a paid invoice with a modified invoice number, date, or minor amount change. The modified invoice passes duplicate detection checks that look for exact matches, and gets paid. This is straightforward fraud that exploits the exact-match limitation of most duplicate detection systems.

Split invoice fraud. A single legitimate invoice for a large amount is split into multiple smaller invoices, each below approval thresholds. The combined total equals or exceeds the original amount but no individual invoice triggers enhanced scrutiny.

Cross-system duplicate exploitation. In organizations that use multiple payment systems — an ERP, an expense management platform, a procurement card system — the same vendor may be payable through different channels. A fraudulent actor with knowledge of the payment landscape submits the same invoice through multiple channels, exploiting the fact that cross-system duplicate detection often doesn't exist.

Return and resubmission fraud. A vendor submits a credit memo for a returned item and simultaneously resubmits the original invoice. The credit and the duplicate payment both process, netting out to an additional fraudulent payment.

Where Standard Duplicate Detection Fails

Most AP systems perform duplicate detection based on exact matching of invoice numbers, vendor IDs, and amounts. This catches simple accidental duplicates — the same invoice entered twice without modification. It doesn't catch:

Invoices with modified numbers but identical underlying transaction details

Split invoices that collectively represent a duplicate

Cross-system duplicates where different payment channels don't share data

Invoices for the same service period submitted under different invoice identifiers

The AP teams most vulnerable to duplicate fraud are those with high invoice volumes from a large vendor base — exactly the environments where manual review of every invoice for potential duplication is impractical.
